Booking a wedding venue can often be difficult for individuals who have never thrown a large event before. A wedding venue is the backdrop for a couple’s big day. It is important to ask all of the right questions in order to make sure that your wedding is as stress free as possible. Let’s dive into the burning questions you should ask when touring your wedding venue options.

1. What is Included in the Wedding Venue Rental?
It is important to know what exactly is included in your rental agreement to ensure you and your guests are abiding by the rules. This will help to mitigate any risk of breaching your rental agreement. Many Wedding Venues have different amenities for their guests included in their rental fee. Typically, Rental Fees may include the following amenities:
- Tables
- Chairs
- Linens
- Decor
- Staff / Security
- Getting ready room
Each wedding venue differs, making it essential to ask if any of these extra costs are covered in the rental agreement. It is also important to question the venue about any hidden fees that may occur throughout the course of wedding planning.
At The Embassy, there is no additional fee for the facility linens, chairs, tables, fine china, or silverware.
2. What is the Capacity of the Event Space?
Making sure there is enough space to accommodate your estimated guest count is super important when planning your wedding. It is good to come to your venue tour with a count of the maximum number of people that you are planning to celebrate with. Sharing this number with the event coordinator of the venue will help you identify if that venue is suitable for your needs. As well as, if additional rooms/areas can be added to maximize the space’s potential. Furthermore, some venues may have guest minimums for events, so ensure that question is part of your list if your coordinator doesn’t mention it.
At The Embassy, our guest capacity is 400. Our minimum guest count for a Saturday event in the Embassy Room is 300 and the Ambassador Room is 150. On Fridays, the minimum guest count for the Embassy Room is 275 and 125 guests for the Ambassador Room.
3. What Does a Typical Day of Timeline Look Like?
It is important to ask the event coordinator what a typical wedding day at their venue looks like. This will help you start envisioning what your big day could look like in the event space. Some venues have time restrictions on the ceremony or reception making this question essential. Communicating about a timeline can help you get a better idea of working with this event coordinator.
4. What is the Pricing for the Event Venue?
Many wedding venues do not keep their pricing easily accessible on their website. Typically, venues will make you sign up for a tour or fill out an interest form online. They will either email you their interest form, or they will hand it to you while you tour their facility. It is important to look for hidden fees within the pricing package. Many venues will charge cake cutting fees, extra bar fees, extra room fees, and the list goes on! It is important to review all of these things as a couple before saying “Yes” to the Venue!
5. Are There Any Specific Rules or Restrictions at this Venue
Knowing any rules and restrictions a venue has can help you in making your final decision. It is important to identify whether you and your guests will be able to follow these guidelines. If you are unable to comply with the regulations, you will have an opportunity to explore other venues!
